A quick start guide for scheduling interview panels with Loops!

Loops are a quick and easy way to schedule complex interview panels that work for everyone's calendars. This feature will help you eliminate the headache of "Calendar Tetris" by presenting you with the best possible options to schedule your panel.

Creating a Loop

With an Availability Request

The most common method to create a Loop would be to send your candidate an Availability Request, which is a self-serve link where they can submit their availability.

Once your candidate submits their availability, you can open the Request and click Schedule Loop. On the new page, their candidate details and availability will be pre-filled.

Without an Availability Request

If you did not collect your candidate’s availability from an Availability Request, you can manually enter it later in the Loop creation.

You can use the Chrome extension to pre-fill the candidate’s information on a Loop. In the candidate’s profile, click Schedule Loop. On the new page, their name, job, and stage will be pre-filled.

Otherwise, in the full web app, you can click the Loops tab to start a new Loop without the candidate’s information.


Interviews Step

In the Interviews step, you will fill out the candidate’s name and job, if it was not pre-populated:

Afterwards, you can customize the interviews in your Loop with the following options:

  1. Template - Select a Loop Setup template, or skip to create this Loop from scratch

  2. Time Zone - Select the time zone for this Loop. In the Results step, you'll be alerted if any interviewers are located in a different time zone.

  3. Scheduling options - Allows you to set different options for the interviews to occur on different days and/or schedule interviews back-to-back.

  4. Interview name - Select the interview name from your ATS that should match this interview.

    1. 📝 Note for Greenhouse customers: If this is not selected, Prelude will not generate an interview kit for this interview. This may result in the interview not being synced into the candidate’s Greenhouse profile.

  5. Add Interviewers - You can choose your interviewers by selecting specific interviewers and by using Attributes, alternate interviewers, or multiple interviewers.

  6. Duration - Choose the length of each interview in the panel. Want to set a default duration?

  7. Day # - Optional: Schedule an interview on a specific day.

  8. Order - Optional: Schedule an interview in a specific order.

  9. Start Time - Optional: Schedule an interview with a specific start time(s).

  10. + Set availability - Optional: Schedule an interview with a specific time window to narrow down availability.


Candidate's Availability Step

On the Candidate's Availability step, you can manage the candidate’s availability:

If you did not create the Loop from an Availability Request, enter the candidate’s availability here. Any default candidate availability will pre-fill onto the page.

If you started this Loop from an Availability Request, the candidate’s availability will pre-fill onto the page. The availability will be converted to match the Loop’s time zone.

Now you can add, remove, and edit your candidate’s availability before proceeding to the Results step.


Results Step

On the Results step, the Loops Solver will try to generate some date/time results that match the interview, interviewer, and candidate preferences from your Loop setup. Note: Not all available results will be displayed, only the “best fit” results will appear.

There are some additional options available on this page:

  1. Select - Choose your preferred result and proceed to the next page.

  2. Calendar preview - Open a calendar preview to see how the interviews fit with your interviewers’ calendars. You can also Drag and Drop the interviews to make minor adjustments to the original result.

  3. Information Icon - Hover to view interviewer profile information, such as load balancing and time preferences

Schedule Step

On the Schedule step, you will customize the interviewer invites for the Loop. You can also make final changes to the interviewers, and date/time of each interview. Make sure to add any videoconferencing links and file attachments.

When you finish setting up the interviewer invites, ensure that the correct calendar is selected before clicking Schedule:

Once that is processed, you will see the Loops page with the scheduled interviews and the following notification at the top of the screen:
