Candidate Reminder Email Templates

Create email templates to simplify your Candidate Reminders.

Reminder email templates contain all of the information that will be in the body of your Candidate Reminder emails, and can be set up in just a few clicks!

We recommend creating a few email different templates to correspond to your different reminder types:

  • Loops Interview Reminders

  • Bookings/Request Interview Reminders

  • Availability Request Response Reminders

  • Booking Request Response Reminders

Email Templates for Loops Candidate Interview Reminders

Start by navigating to Settings > Templates > Loop Templates > Candidate Emails. Then, click New Template.

We recommend that you explicitly label your reminder templates to avoid confusion with other candidate communications. We suggest a format similar to “Reminder: Loops Candidate Reminder Email.”

You can then populate your template with all of the important information your candidate may need, such as their schedule and video conferencing link. Your template might look something like this:

Once you've finished creating your template, click Create.

Your template will now appear in the template drop-down menu when setting up Loops reminders.


Email Templates for Booking/Request Interview Reminders

To create a Reminder Email Template for your Bookings and Booking Request Interviews, start by navigating to Settings > Templates > Requests > Request Emails. Then, click New Template.

You can then populate your template with all of the important information your candidate may need, such as their selected date/time and video conferencing link. Your template might look something like this:

Note: As of July 2023, we recommend using the {{Scheduled start time}} placeholder in place of the {{Candidate selected date and time}} placeholder. While the {{Candidate selected date and time}} placeholder only displays the time that the candidate themself selected, the {{Scheduled start time}} placeholder will update dynamically if edits are made to the date/time of the event. Using {{Scheduled start time}} ensures that your candidates do not receive conflicting interview details.

Once you've finished creating your template, click Create.

Your template will now appear in the template drop-down menu when setting up Booking or Booking Request reminders.


Email Templates for Response Reminders

To create a Response Reminder Email Template for your Availability and Booking Requests, start by navigating to Settings > Templates > Requests > Request Emails. Then, click New Template.

You can then populate your template with all of the important information your candidate may need. In particular, be sure to include the {{Candidate scheduling link}} placeholder so that the candidate can easily access the link to submit availability or book a time.

Once you've finished creating your template, click Create.

💡 TIP: We recommend creating at least one email template for Availability Response Reminders, and at least one email template for Booking Response Reminders.

We also suggest that you name your templates clearly so that they can be easily identified. For example, "Availability Request Response Reminder" or "Booking Request Interview Reminder."
