The Declines report provides users with a snapshot of interviewer decline activity.

The Declines report provides users with a snapshot of interviewer decline activity. Teams use this information to assess which interviewers may be causing slowdowns or extra work for recruiting coordinators.

The Declines report falls under the Interviewers category in Reports. This report counts how many interviews an interviewer has declined over the selected date range.

The Declines report can be found by clicking on the Reports tab, then selecting Interviewers > Declines:

How Declines and Reschedules are Counted

Declines

Declines are counted on an individual invite basis for Requests, Bookings, and Loops. This means that if an interviewer is scheduled for two different interviews within a single Loop, and the interviewer declines both invites, they will be attributed 2 declines.

Declines are not counted if the Interviewer was marked Optional.

Are Debriefs counted in the Declines Report?

Users can choose to include or exclude Debriefs from the report using the Decline Type filter under "More Options."

Reschedules Caused

Reschedules are counted with a value of either 1 or 0 โ€“ either a reschedule was caused (1) or a reschedule was not caused (0).

What Counts as a Reschedule In the Declines Report?

It is important to note that Reschedules are only counted in the Declines report under the following circumstances:

  • One or more edits has been made to a Loops interview OR a full Reschedule has been completed, after the decline occurred, AND

  • The interviewer is listed as the Reschedule Reason upon making the edit/completing the Reschedule.

Note that not every decline causes a reschedule, and not every reschedule is caused by a decline.

Example scenarios

Example 1

  • Mary is scheduled as an interviewer on one interview in a Loop consisting of three total interviews.

  • Mary declines the one interview.

  • The entire Loop of three interviews must be rescheduled. Adrian, the RC, reschedules the Loop and lists Mary as the reschedule reason.

  • The Declines report will show this as 1 decline, and 1 reschedule caused.

Example 2

  • Mary is scheduled as an interviewer on two interviews in a Loop consisting of three total interviews.

  • Mary declines both (2) interviews.

  • Adrian, the recruiting coordinator, must edit one of the two interviews. The other interview can be led by Mary's co-interviewer, so Adrian does not need to edit that interview.

  • Adrian edits one of the two interviews that Mary declined. Adrian lists Mary as the reschedule reason.

  • The Declines report will show this as 2 declines, and 1 reschedule caused.


Detailed Reports

Users can click into the names of individual interviewers in the report to view more details about each particular decline. Detailed reports can only be accessed when the user is grouping by Interviewer, and detailed reports can only display a single Interviewer's declines at once.

Here is an example of a detailed Declines report for the interviewer Adrian Smith:

The detailed report includes the following items (click to expand)

  • Declined At - When the decline occurred

  • Reschedule Caused - If a reschedule was caused as a result of the decline. (See "How Declines and Reschedules are Counted" above for more information.)

  • Time Before Interview - How long before the interview the decline took place.

  • Candidate - Which candidate the interview was scheduled for.

  • Interview Time - When the interview was set to occur.

  • Owner - The user that scheduled the interview. (For requests, the assignee.)

  • Interview Created - When the interview was scheduled.

  • Link - The link to the declined Booking/Request/Loop/Superday.
