Create customized Request Templates to speed up your Requests process.

There are three types of templates for Requests:

  1. Request Invite Templates: These are the calendar invites that are automatically sent when a candidate books a time.

  2. Request Email Templates: These are the email templates you’ll use for any email communication that goes out related to your requests. This includes the original request to book/share availability, as well as confirmation emails and reminder emails.

  3. Request Setup Templates: These are templates you can use to customize the features of the request itself, such as duration, interviewers, availability, and rescheduling options.


Request Invite Templates

Create Request Invite Templates by navigating to Settings > Templates > Request Templates > Request Invites.

While there is no limit as to how many invite templates you create, you’ll want at least one invite specifically for your candidates, and at least 1 invite specifically for your interviewers.

Within each invite template, you can customize the following fields:

  • Template Name

  • Calendar (which calendar this invite will be hosted on)

  • Invite Title

  • Invite Attendees

  • Invite body

  • Location

  • Attachments

You can include a variety of placeholders in your invites to avoid manual editing:

Once you've saved your Request Invite templates, they can be applied to your Request Setup templates and individual Requests.


Request Email Templates

To create a Request Email Template, navigate to Settings > Templates > Request Templates > Request Emails.

There are a few common uses for Request Email Templates:

  1. Candidate Confirmation Emails - Send candidates a confirmation upon booking a meeting.

  2. Booking Request Emails - Send candidates a self-scheduling link.

  3. Availability Request Emails - Send candidates a link to submit their availability.

  4. Candidate Reminder Emails - Send candidates reminders for upcoming self-scheduled meetings.

Within each email template, you can customize the following fields:

  • Template Name

  • Email recipients

  • Email subject

  • Email body

You can include a variety of placeholders in your email templates to avoid manual editing:

Once you've saved your Request Email templates, they can be applied to your Request Setup templates and individual Requests.


Request Setup Templates

Request Setup Templates are where you can customize the features of the request itself. Within your Request Setup Templates, you can apply Request Invites and Request Emails.

When creating a Request Setup template, you can choose between a Booking or Availability flow. The Booking flow will generate a self-scheduling link for your candidate, which they can use to book a meeting directly. The Availability flow will generate an availability submission link where your candidate can provide their availability, which the recruiting team will use to schedule a Loops interview.

Customizing Booking Request Setup Templates

When creating a Booking Request Setup Template, you will be able to customize a wide variety of fields.

Here are some of the ways you can customize your Booking Request Template:

  • Select one or multiple interviewers, or use Attributes

  • Interviewer Availability options (Interviewer time zone, date window, time window)

  • Candidate Experience options (Candidate questions, candidate time zone)

  • Customize your calendar invites (Request Invites Templates can be applied)

  • Customize your email confirmations (Request Email Templates can be applied)

  • Add Candidate Reminders (Request Email Templates can be applied)

  • Select Rescheduling options

Customizing Availability Request Setup Templates

There are plenty of ways to customize your Availability Request Setup Templates as well. The template setup will look something like this:

Here are some of the ways you can customize your Availability Request Template:

  • Set a minimum quantity of availability

  • Add a date or time window for availability to ensure you're receiving options that will overlap with your interviewers' schedules

  • Include candidate questions to get additional information about your candidate prior to scheduling

  • Add Availability Blockout Dates (dates when the candidate cannot submit availability, such as company-wide holidays)

Once your Availability Request Setup templates are saved, they can be applied to all of your Requests.
