Candidate Interview Reminders for Bookings & Booking Requests

Make sure your candidates never miss a Booking interview by sending reminder emails.

Prelude's Candidate Interview Reminders feature ensures that your candidates never miss a meeting! This article will cover Candidate Interview Reminders sent through email for Bookings and Booking Requests interviews. For more information about creating these reminders for Loops, see this article.

How Candidate Interview Reminders Work

Once you've set up candidate reminders for your Booking or Booking Request, any candidate who has scheduled an interview time will receive the designated reminder email(s) at the time interval(s) you've set.

For example, if you set the time interval to 24 hours and the candidate has booked a meeting on Tuesday, 2/7 at 1:00 PM EST, they will receive the reminder email on Monday, 2/6 at 1:00 PM EST.

Reminders can be customized to include any and all information you wish to share with the candidate. This is a useful way to ensure that your candidate hasn't forgotten about their meeting, and has everything they need to be prepared.

πŸ“ Note: Candidate Reminders update automatically when interview changes are made. We recommend making all interview changes through Prelude, rather than on your calendar.

Adding Reminders to Bookings and Booking Requests

Start by creating a new Booking or Booking Request, or opening an existing one from the Bookings or Requests tab.

For Bookings, go to the Edit tab. Navigate to Candidate Reminders and click Add reminder:

For Booking Requests, go to the Link setup step. Navigate to Candidate Reminders and click Add interview reminder:

In the new reminder, you can adjust these settings:

  1. Set the time window for your reminder (when the reminder should be triggered)

  2. Apply a template from this list or create an email from scratch

  3. Optional: Include additional recipients to be CCed / BCCed on the email

If you want to set up an additional reminder, click Add reminder. When you are done adding reminders, click Save / Next:

Once you save your reminder(s), you can finish setting up the Booking / Booking Request. Moving forward, any candidate who schedules a time using that link will receive email reminders for their upcoming interview.

Adding Reminders to Booking Request Setup Templates

If you would like to build candidate reminders into your Booking Request flow, you can add reminders to your Booking Request Setup Templates. This way, your reminder settings will auto-populate each time you apply a template to your Booking Request.

Start by navigating to Settings > Templates > Requests > Request Setup. Create a new template, or open an existing template.

Navigate to Candidate Reminders and click Add reminder:

In the new reminder, you can adjust these settings:

  1. Set the time window for your reminder (when the reminder should be triggered)

  2. Apply a template from this list or create an email from scratch

  3. Optional: Include additional recipients to be CCed / BCCed on the email

If you want to set up an additional reminder, click Add reminder. When you are done adding reminders, click Create / Update:

Moving forward, any Booking Request with that template applied will include the interview reminders.

Viewing and Managing Scheduled Reminders

For Bookings, open the Booking and locate the interview under the Responses tab. Under Candidate Reminders, any scheduled reminders will be listed:

For Booking Requests, open the Request and go to the Send to candidate step. Any scheduled reminders will be listed:

When you need to cancel a reminder, click the X icon on the right-hand side of the reminder. If you need to re-enable a canceled reminder, click re-enable:
