Availability Requests are a quick and easy way to capture candidate availability, so that you can schedule complex interview panels that work for everyone's calendars.

You can create Requests directly within the Prelude website from the Requests tab, or by using the Chrome Extension with your ATS. We recommend to use the Chrome Extension, as it's more efficient and you can stay within the candidate's page in your ATS.

Creating an Availability Request

To create an Availability Request from within your ATS, navigate to a candidate's profile and click the Request button. Then, select Create a new request:

To speed up the Request creation, apply an Availability Request template. Learn more about those templates here.

The Scheduling Flow box should be set to Availability. You can also add an internal note to your request, which will be visible to your colleagues, but not to the candidate. Click Create to proceed:

All of the pre-selected options from your template will automatically populate, but you can continue to customize your Availability Request as needed. You'll see options to adjust various details for your request, such as:

  • Minimum candidate availability

  • Date and time window

    • By default, weekends are excluded. If you would prefer candidates to submit weekend availability, review this article for more details.

  • Display time zone

  • Additional questions for the candidate

  • Blockout dates

Once you're done customizing those settings, click Next:


Sending the Candidate Link

The next page, also called the Send to candidate step, allows you to customize an email to the candidate, which will include the availability link you've just created. Click Send and the candidate will receive an email containing the link:

Once the candidate opens the availability link, they'll be able to view and select their preferred dates and times like this:


Manually Adding Availability

Sometimes, candidates will relay their availability over the phone or via email, or they'll email the recruiting team with changes to their submitted availability. You can add or adjust Candidate Availability within an existing Request on the candidate's behalf.

Once the Availability Request has been created:

  1. Click Candidate Availability on the blue progress bar

  2. Click + Add manually to enter the candidate's available dates and times.

  3. Click Save.


Editing Submitted Availability

To adjust availability that has already been submitted:

  1. Open the existing Availability Request.

  2. Click Candidate Availability on the blue progress bar.

  3. Click Edit availability and add/change times as needed.


Scheduling a Loop from the Request

Once the candidate availability has been submitted, you'll be able to see it in the Requests extension sidebar. You can then schedule a Loop using that availability by simply clicking Schedule Loop, which will launch Prelude's Loops page. Your Loop will automatically consider the candidate's submitted availability!
